- The process of signing up
A potential affiliate goes here:
The form code is an Infusionsoft web form that is part of this campaign: https://hd245.infusionsoft.com/app/funnel/funnelEditor?funnelId=36
The form creates a contact record and applies the tag “Business Development -> Affiliate App Received”
Part of the campaign alerts “There is a new affiliate app”. I just (10/3/17, 440pm est) updated it so that Mike, Chris, Andy, and John all get alerted, instead of me (which is why they sit there).
I have it as a signup and approve process because I want to be able to arbitrarily deny people - I usually check their URL to make sure they don’t run some cruddy spam website and aren ‘t competition (both have happened).
To approve someone, go to Infusionsoft and search for the contact, OR, go to contacts and use the saved search “affiliate apps that need to review”, and it finds contact records with the “affiliate app received” tag that don’t have the “affiliate” tag
Apply the tag “Business Development -> affiliate” to approve an affiliate, it will kick off this campaign: https://hd245.infusionsoft.com/app/funnel/funnelEditor?funnelId=534, which sends them the login info and an email they can send (the email sucks and needs to be updated)
That’s it to get an affiliate approved.
2. How to find an affiliate record
You can find an affiliate record 3 ways
Type in name or email in the top right search of infusionsoft
Search for all contact records with “affiliate” tag
Use the Referral partner menu and then search
3. How to find out commissions paid & owed
Under the Referral Partners area, choose reports -> Referral partners
Choose Referral Partner ledger
Choose date range, and then in the other tab you can pick a specific partner
You can see all affiliates payouts. Keep in mind we pay on the 15th of the following month. The report listed below is October 1-3 only, these commissions won’t pay out until November 15th.
You can click on the ledger button to see the specific customers an affiliate is getting paid for in the selected date range (very helpful)
4. How to edit an order to give an affiliate credit
Go to contact record of the referred order.
Since Infusionsoft has zero clarity on where to edit, we need to edit the referral partner settings in a number of places:
4.1 on the main contact record of the referred order, click on the referral partner tracking tab, and then “create referral” button
Choose the partner name and set the date to the date before the order
Ok, so far so good, now we have to set this on the order itself. Get to the contact’s order history, and click on the order. Then go to the lead referral partner and sale referral partner fields, and start typing in the name until Infusionsoft finds it
Now go to the subscription record of the contact that was referred. Do the same damn thing
Go back to the ledger report - you should see the contact in that referral partner’s referrals immediately if you did the steps right.
5. Monthly payment process:
On the 15th of the month, Jon Gitman runs the ledger report for the previous month.
He pays everyone by paypal.
He logs the payments inside of Infusionsoft via the ledger - he adds a payment there.
He logs the entire process on this google sheet: https://docs.google.com/spreadsheets/d/1h9HUlyfpHjp0edVx52r71JmAq8evm8kbxRVwWQzpxOs/edit#gid=142437843
He confirms any new or large payments with me prior to sending, usually.
Notes : He still pays people via a hodgepodge of wells fargo surepay/zelle, and mail, and paypal, even though I have told him twice to use paypal.
Notes: He never pays people on time, it is usually 3-7 days late.
6. Affiliate needs login information or wants something to send to list
Our view of all the referral resources is in the submenu of affiliates, you can click on the links, or resources. Only problem is you won’t have the affiliate’s code.
To send an affiliate their login info again (this happens a fair amount) go to their contact record, and scroll down to the Recent Email section where over to the far right is a button “send email” and click it.
Click on the Template button, then select “affiliate approval”, and click submit.
It will reload the email with the affiliate’s login info.
You are done.
If an affiliate emails in that they want their link, they could always just login and grab the link. However, in the interest of time, you can login as the affiliate, grab their link, and send it to them. Be careful to only test the link using “incognito mode” else you will start getting tracked as their affiliate sales and screw up our accounting.
Here is how to login as the affiliate and get their referral link.
- Search for them in the referral partner search
In the results, there is the option to login as that partner
You can get links, email templates, see stats, whatever, from here
In this scenario, we want to get them a link, so click on “link generator”. Grab any of the “my tracking links”
In general, if they have a lead that needs a demo, use live demo. Buyer, pricing page. Else, probably home page. (note - we need to update the recorded demo link)
https://hd245.infusionsoft.com/app/funnel/funnelEditor?funnelId=534 has a sucky email to get started.
The recorded demo email needs to be massively updated to the new demo I cut
We want to automatically email the recorded demo email with the referral partner’s tracking links - automatically as the 2nd email they get.
